What are you paying for?
A January invoice covers the full calendar year, January through December. You are paying for that calendar year, not for a Rotary Year (July–June).

How many months count?
For a January 2027 invoice, Pro Rata Dues cover applicable months in 2026 after the member joined. Count from the 1st of each month.
If someone joins on the 1st, that month counts. If they join after the 1st, start counting from the next month.

Annual and per-month dues (USD)
You chose your club base. Enter only those rates. Round every money amount on this worksheet to two decimal places.
Monthly dues are your annual dues divided by 12, then rounded to two decimal places. Enter exactly two decimals, not the unrounded result. Later stages reuse this rounded figure, so an incorrect value here will make the final invoice incorrect.

Convert to local currency
Congratulations. You got the USD rates right. This worksheet uses a sample exchange rate of $1 = 96 in local currency. Multiply each rounded USD amount by 96 to calculate the local currency amount.
Use the two-decimal USD figures from the previous stage. Annual local currency is the annual USD amount multiplied by 96. Monthly local currency is the rounded monthly USD amount multiplied by 96. Round both amounts to two decimal places.

Here are five members. Who is still active as of 1 January 2027, and how many months of 2026 Pro Rata Dues apply to each?
A leave date before 1 January 2027 means the member is not active on the invoice date. A member who joined before the January 2026 invoice has no Pro Rata Dues months on the January 2027 invoice, as they were billed as an Active member on the January 2026 invoice.

Individual dues in local currency
Use the rounded annual and monthly local-currency amounts from the previous stage. Active members are charged the 2027 annual amount. Pro Rata Dues = monthly amount × unbilled 2026 months (months not billed on the previous January invoice). Keep two decimals.
Each member card displays their unbilled 2026 months. Those months were not billed on the January 2026 invoice, so they appear as Pro Rata Dues here. Annual dues apply only if the member is active on 1 January 2027. Pro Rata Dues can still apply if a member left during 2026. Keep two decimal places.

This uses the same layout as the club invoice. Fill in the quantity, unit price, and total for each line. For this sample, the local tax rate is 18%.
Use your roster totals and the local-currency rates from the previous stages. Quantity × unit price = line total. For this sample, tax is 18% of each applicable dues line, not 18% of the grand total. Previous balance carries over from earlier invoices: unpaid dues add to the bill, while credits or overpayments reduce it. This sample club has no previous balance, so enter 0.
